These Permanent Account Deletion Terms ("Deletion Terms") describe the process, consequences, and data handling procedures that apply when a Customer or End User requests permanent deletion of their WorkSlate account. These Deletion Terms apply to all users globally and supplement the Terms of Service, Privacy Policy, and Data Processing Addendum.
IMPORTANT: Permanent account deletion is irreversible. Once deletion is complete, your account data cannot be recovered. Please read these terms carefully and export any data you wish to retain before submitting a deletion request.
1. Who Can Request Account Deletion
1.1 Business Customers (Operators). A business customer with an active WorkSlate subscription may request permanent deletion of their operator account, including all associated sub-accounts, job data, customer records, and billing history, subject to the terms herein.
1.2 End Users (Customer Portal Users). An end customer who has a WorkSlate customer portal account may request deletion of their portal account and associated personal data at any time, independent of the Service Business.
1.3 Authorized Representatives. Account deletion requests must be submitted by an account owner or an authorized administrator. WorkSlate reserves the right to verify identity before processing deletion requests.
2. How to Submit a Deletion Request
Deletion requests may be submitted through any of the following channels:
- In-app: Navigate to Account Settings > Account > Delete Account and follow the prompts
- Email: Send a written deletion request to privacy@getworkslate.com from the email address associated with your account
- Portal: End Users may request deletion via the customer portal under Profile > Privacy Settings > Delete My Data
Requests submitted by email will receive a confirmation acknowledgment within five (5) business days. WorkSlate may request identity verification before processing the request.
3. Data Export Before Deletion
WorkSlate strongly recommends that you export all data you wish to retain before submitting a deletion request. Available exports include:
- Job history and service records (CSV or PDF)
- Invoice and payment records (PDF)
- Customer contact data (CSV)
- Signed documents and agreements (PDF)
Data export is available through Account Settings > Data Export or by contacting support@getworkslate.com. WorkSlate will honor export requests for up to thirty (30) days following the effective date of account termination. After the export window closes and deletion is initiated, data recovery is not possible.
4. Deletion Timeline
4.1 Active Subscriptions. If you have an active paid subscription, permanent account deletion will be initiated at the end of your current billing period unless you request immediate deletion. You may request immediate deletion at any time, in which case remaining prepaid subscription fees are non-refundable except as required by law.
4.2 Initiation. Upon verification of the deletion request and expiration of the export window (or your confirmation that export is complete), WorkSlate will initiate the deletion process within thirty (30) days.
4.3 Completion. Full deletion of all personal data from production systems will be completed within ninety (90) days of initiation, subject to the retention exceptions in Section 5.
4.4 Backup Purge. Personal data may persist in encrypted backup systems for up to one hundred eighty (180) days following initiation of deletion, after which it will be purged during the next scheduled backup rotation. Backup data is not accessible or used during this period.
5. Data Retained After Deletion
Certain data must be retained by WorkSlate after account deletion as required by applicable law, even after a deletion request is processed. Retained data will not be used for any operational, marketing, or service purpose. The following categories of data are retained:
5.1 Financial and Tax Records. Billing records, payment history, invoices, and transaction data are retained for seven (7) years from the date of the transaction to comply with U.S. federal and state tax laws, financial recordkeeping obligations, and applicable international accounting standards.
5.2 Legal Hold Data. If your account is subject to a pending legal dispute, litigation hold, regulatory investigation, or law enforcement request at the time of deletion, relevant data will be retained until the legal matter is resolved, regardless of the deletion request.
5.3 Fraud and Abuse Records. Records related to confirmed fraud, abuse, or Terms of Service violations may be retained for up to five (5) years to prevent re-registration and protect platform integrity.
5.4 SMS Consent Records. Opt-in and opt-out records for SMS communications are retained for five (5) years as required by TCPA and wireless carrier compliance requirements.
5.5 Anonymized Analytics Data. Aggregated, de-identified data derived from your account activity (e.g., platform usage metrics that cannot identify you) is not subject to deletion and may be retained indefinitely.
5.6 Audit Logs. Security audit logs containing account access records may be retained for up to twenty-four (24) months for security monitoring purposes. After that period, logs are purged.
6. Effect of Account Deletion on Related Data
6.1 End User Data. If a business Customer deletes its WorkSlate operator account, the associated portal accounts for that Customer's End Users will also be scheduled for deletion. End Users will be notified by email prior to deletion initiation and given thirty (30) days to export their own data.
6.2 Active Jobs and Pending Transactions. Any active jobs, unsigned documents, unpaid invoices, or pending transactions at the time of deletion request should be resolved prior to account deletion. WorkSlate is not responsible for loss of data or obligations associated with in-progress service relationships at the time of deletion.
6.3 Third-Party Integrations. Account deletion from WorkSlate does not automatically delete data held by third-party integrations (e.g., Stripe payment accounts, SMS provider records). You must contact third-party providers directly to request deletion of data they hold independently.
6.4 Employee and Sub-User Accounts. Deletion of the primary operator account will result in deletion of all associated employee, technician, and administrator sub-accounts. Notify affected users before initiating deletion.
7. Confirmation of Deletion
Upon completion of the deletion process, WorkSlate will send a written confirmation to the email address associated with the account. The confirmation will describe: (a) what data was deleted; (b) what data is being retained and why; and (c) expected timeline for backup purge.
8. Reactivation
Once account deletion is initiated and the thirty (30) day export window has passed, your account cannot be reactivated or restored. If you wish to use WorkSlate after deletion is complete, you must create a new account. Historical data from the deleted account will not be available in the new account.
9. Data Subject Rights and Deletion
For users in the EEA, UK, or California, the right to erasure ("right to be forgotten") under GDPR, UK GDPR, and CCPA/CPRA is distinct from an account deletion request, though a permanent account deletion request may satisfy your erasure rights with respect to data not subject to retention exceptions. To submit a formal data erasure request under applicable privacy law, contact privacy@getworkslate.com. WorkSlate will respond within thirty (30) days or as required by applicable law.
10. Changes to These Deletion Terms
WorkSlate may update these Deletion Terms at any time. Material changes will be communicated via email or in-app notification at least thirty (30) days before the effective date.
